Most businesses have years of accumulated permissions cruft. Old project folders with legacy access. Departed staff who still have read rights. External contractors with ongoing access to sensitive data.
Before you enable Copilot, you need a full permissions audit.
This isn't a quick task. You need to:
- Map every SharePoint site and who has access
- Review OneDrive sharing links (including the ones people forgot about)
- Check email delegation settings
- Audit Teams private channels
Yes, it's tedious. Yes, it takes weeks. But it's cheaper than a data breach.
Mistake #2: Assuming Users Understand Data Classification

Monitor everything they do. Review their Copilot interactions weekly. Look for:
- Unexpected data access
- Overly broad queries
- Summaries that include sensitive information
Step 2: Implement Sensitivity Labels (And Actually Use Them)
Microsoft Purview sensitivity labels are your friend here. They let you tag content based on confidentiality:
- Public
- Internal
- Confidential
- Highly Confidential
Once labelled, you can configure Copilot to respect these labels. Highly Confidential documents can be excluded from Copilot's context entirely.
But—and this is crucial—you have to actually label your content. Which means going through years of existing files. Most businesses never get around to this.
Step 3: Train Users on What NOT to Ask
Your Copilot training shouldn't just cover "here's how to use it." It needs to cover:
- What Copilot can see
- Why you shouldn't ask it to summarise sensitive topics
- How to recognise when a response contains information it shouldn't

Users need to understand that Copilot is indiscriminate. It doesn't have judgment. That's their job.
Step 4: Set Up Audit Logging (And Review It)

Set up a weekly review process. Look for:
- Queries that return unexpected results
- Users accessing sensitive content through Copilot
- Patterns that suggest permission problems
Yes, it's boring admin work. But it's how you catch problems before they become breaches.

The Compliance Question Nobody Asks
If you're in a regulated industry—finance, healthcare, legal—Copilot introduces compliance risks that most businesses haven't considered.
Australian Privacy Principle 11 requires you to take reasonable steps to protect personal information. If Copilot can access client data, have you taken reasonable steps?
Notifiable Data Breach scheme means you must report breaches that are likely to result in serious harm. If Copilot leaks client information through a clever prompt, is that a reportable breach?
The answer is: maybe. And "maybe" isn't a comfortable position when the Office of the Australian Information Commissioner is asking questions.
Before deploying Copilot in regulated industries, get legal advice. Document your risk assessment. Show you've thought about this stuff.
Copilot Isn't the Enemy. Assumptions Are.
Microsoft Copilot is a powerful tool. In the right hands, with proper guardrails, it can genuinely improve productivity.
But it's not magic. It doesn't understand context the way humans do. It doesn't know what's sensitive unless you tell it. And it will happily combine information from across your organisation in ways that expose data you thought was protected.
